Privacy Policy
How we handle the information you share with us.
Studio 621 Films Canada Inc., DBA Studio 621, operating as Studio 621 Films · Nirmal Shah Photography · Wedlock Films.
We are a photography and film studio in North Vancouver. This page explains, in plain terms, what information we hold, why we hold it, and what you can ask us to do with it.
1. Who this applies to
This policy covers our websites, enquiry and booking forms, client galleries, and the work we carry out for clients under Studio 621 Films, Nirmal Shah Photography and Wedlock Films. We follow British Columbia's Personal Information Protection Act and Canada's federal privacy and anti-spam laws.
2. What we collect
- Contact details: name, email, telephone number, billing or mailing address, company name
- Project details: dates, locations, schedules, briefs, preferences and our correspondence with you
- Payment records: invoices and payment references. Card details are handled by our payment provider, not held by us
- Website data: IP address, browser and device type, and how the site is used
- Photographs and film: the images and recordings we create, and the metadata in those files
3. Why we hold it
- To carry out the work you have engaged us for
- To communicate with you, schedule, and confirm bookings
- To invoice, take payment and keep proper accounts
- To deliver, back up and archive files
- To meet our legal and tax obligations
- To show our own work — see section 5
4. Agreement
We use your information with your knowledge and agreement. For the work you commission, that agreement is given when you engage us and tell us what you need. For some things, including the section below, it is taken from the circumstances rather than a signed form. You can change your mind at any time by telling us.
5. Our work in our portfolio
We are a photography and film studio, and showing our work is part of the craft. Selected images from a session may appear in our portfolio, on our website and social media, in showreels and in printed material. It is our own work, shown under our own name, and it is how people find us.
We mention this when you book. If you would rather we did not use your images, tell us — before the session or long afterwards. No form, no reason needed, and no difference to your session or what you pay. We will take them down from our own channels. Something already printed, or already shared on by someone else, cannot always be pulled back, and we will say so honestly if that is the case.
6. Events, guests and children
At weddings, corporate functions and events we photograph what is happening, including guests and children, as any event photographer does. We do not interrupt an event to seek permission from each person present. Where we are engaged for an event, the host lets guests know that photography and filming are taking place and that images may be used — a line on the invitation or a notice at the venue is enough.
Anyone who appears in our work, or a parent on behalf of a child, can write to us and ask that an image not be used publicly. We look into it and we remove it. The same applies to anyone who passes through the studio.
Where a child is the main subject of something promotional — a feature image on our website, or a portrait used to advertise a service — we ask a parent or guardian first. School and institutional work follows the school's own consent process, and we work to the instructions it gives us.
7. Our brands
We operate several brands and shared systems. Work created under one may be edited, archived or published under another. That internal movement does not change our obligations to you, and agreement given for one purpose is not treated as agreement for a different one.
8. Cookies
We use cookies for essential site functionality, performance and analytics. Non-essential cookies load only after you accept them, and you can change your choice at any time. Full detail is in our Cookie Notice.
9. Who we share information with
We do not sell personal information. We share it only where it is needed to do the work, with:
- Payment providers
- Cloud storage, client gallery and booking platforms
- Print labs, framers and delivery services
- Second shooters, assistants and contractors working on a project
- Our accountant and professional advisors
- Authorities, where the law requires it
We choose established providers and expect them to handle information properly, but they operate under their own terms, and we are not responsible for platforms you use independently of us.
10. Where it is stored
Some of the services we rely on are based outside Canada, so information may be stored or processed in another country and be subject to the laws there. By using our services you accept that.
11. How long we keep it
- Financial and tax records: six years, as Canadian tax law requires
- Project records and correspondence: for the relationship and a reasonable period afterwards
- Online client galleries: the period stated in your agreement
- Archived image and film files: as stated in your agreement
- Enquiry and mailing list details: until you ask to be removed
Please download and keep your own copies of delivered files. We honour deletion requests where we are able to.
12. What you can ask us
- What information we hold about you, and a copy of it
- To correct anything that is wrong
- To delete information we no longer need
- To stop using your images in our portfolio
- To stop sending you marketing emails
Ask in writing and we will respond promptly. We may need to confirm who you are first. If we cannot do what you have asked, we will tell you why.
13. Security
We take reasonable steps to keep information safe, including limiting who can access it and delivering files through protected galleries and private links. No system is completely secure, and we do not claim otherwise. If something goes wrong in a way that could affect you, we will tell you and take the steps the law requires.
14. Editing tools
We may use AI-assisted tools from time to time to support editing and file workflows. Creative judgment and authorship remain ours.
15. Changes
We may update this page from time to time. The current version is always the one published here.
